Client file intakeEarly access

Get client documents organized without sorting every file yourself.

Your client uploads a messy batch. Tallyn works out what each file is, renames it consistently, puts it in a folder and checks it against the list you asked for. You review, accept and export.

Included in every Tallyn plan. Free to try with one document request, no card.

Can clients upload everything at once and have it sorted?

Yes. Send your client one link and they can drop every file at once: PDFs, phone photos, Office files or a ZIP. Tallyn labels each document, renames it, files it in a folder and checks it against your required list, flagging anything missing, wrong-period, unreadable, duplicated or password-protected. You review and accept before exporting.

How it works

From a messy batch to an organized file

  1. Set the list

Start from a list for a tax year, a mortgage application, new client onboarding or a legal matter, or write your own. Each item has a type, and a period where it matters (“bank statements, July to September”).

  2. The client drops everything

One private link, no account. Many files at once, from a phone or a computer, or a ZIP: Tallyn unpacks it and checks each file inside.

  3. Tallyn sorts and checks

Each file is labeled (bank statement, payslip, ID, utility bill, invoice, receipt, contract, tax form or other), its period, issuer, last 4 account digits and total read, renamed and foldered, then matched against your list.

  4. You review and accept

Change any label, split a file that holds several documents, merge pages that belong together, or reject one with a reason the client sees. Nothing is final until you accept it.

  5. Export, and chase the rest

Download a ZIP with the folders, an index of every file and a checklist. Missing items go to the client in wording you approve, with reminders that stop when they arrive.

An example

What Tallyn did with one client's batch

A made-up client's batch for a mortgage application, as Tallyn sorted it.

Still missing after the batch: payslips for July and August, and photo ID. Those, and the two files that couldn't be used, are what the client's email listed.

Sample data: a made-up client, employer and files, sorted by Tallyn's rules (no AI) on a local test run. Account numbers appear only as their last 4 digits.

Before you rely on it

What it does, and what it doesn't

  • Tallyn's AI reads PDFs and photos where AI is on for your workspace. Without it, and for HEIC photos and Office files, a file is labeled from its name and text and marked for you to check. Either way, nothing is final until you accept it.
  • Files can be up to 25 MB, and a ZIP up to 100 MB with 200 files inside. ZIPs inside a ZIP and password-protected entries aren't unpacked; programs and scripts are refused. Each file's type is read from its contents.
  • Files that could carry macros or programs are held until an owner or admin releases them.
  • Splitting doesn't cut pages out of a PDF: each part gets its own label and folder, and its name says which pages it is.
  • Exports are a ZIP download today. Sending to Google Drive is coming soon; Dropbox isn't supported yet.
  • Alerts go only after someone on your team approves the wording, list exactly what's still needed, and stop when everything's in or the client asks.
  • Kinds of document it sorts into: Bank statement, Payslip, ID, Utility bill, Invoice, Receipt, Contract, Tax form, Other.
  • Open document requests at a time: Starter 10, Growth 50, Business unlimited, the lifetime license 5, and 1 while you build for free. Files count toward your plan's storage, and AI reads toward its document reads.

Questions about file intake

Can clients upload everything at once and have it sorted?

Yes. Send your client one link and they can drop every file at once: PDFs, phone photos, Office files or a ZIP. Tallyn labels each document, renames it, files it in a folder and checks it against your required list, flagging anything missing, wrong-period, unreadable, duplicated or password-protected. You review and accept before exporting.

Does my client need an account?

No. They open a private link on any device. Clients who use your Tallyn client portal also see the request there.

What happens to a file Tallyn can't use?

It's flagged with the reason: wrong period, unreadable, a duplicate, password-protected or expired. It doesn't count toward your list, and the client sees why on their link and in the next alert.

Is anything sent to my client automatically?

Only after you approve the alert wording. Then Tallyn emails exactly what's still needed, reminds on the schedule you choose, and stops when everything has arrived.

Send your next client one link

Choose a starting list, send the link, and let Tallyn sort what comes back. Building and testing are free.
