Everything Tallyn does

Everything below is built and works today.

Building the form

Write a sentence like “Onboarding for a new website client: practice details, logo, page list and who approves designs”, or start from a template for your kind of work. Tallyn drafts the questions, file requests and conditional logic. Change any of it, preview it as your client will see it, and publish when it's right.

  • Templates for Accounting, Year-end documents, Legal, Web studio, Creative brief, Consulting, Tenant application, IT support, Job application, Event booking, Trades quote, Coaching

Missing information

Pick the questions that are still outstanding and Tallyn emails your client a private link showing only those, with everything they've already answered kept. They can send part now and the rest later, or tell you they don't have something. Turn on reminders and Tallyn sends up to five on a schedule, asking only for what's left. They stop as soon as everything's in, and your client can stop them too.

  • Reminders also go to anyone who saved a form part-way, so half-finished intakes don't go quiet.

After it arrives

Set quick rules in plain terms, or build a multi-step workflow. When an intake arrives or an answer matches, Tallyn acts.

  • Assign it to the right person on your team.
  • Tag it, for example “Website” or “Year-end”.
  • Summarize it. An AI summary of the intake sits at the top, so whoever picks it up knows the brief in a minute.
  • Check the documents. Every uploaded file is read: what it is, the key names, dates and amounts (account and ID numbers masked), and whether it's what you asked for and all of it. A wrong or partial file is asked for again with the reason.
  • Ask for approval from a manager in an approval queue before the work starts.
  • Run the next step. Multi-step workflows ask for approval, request missing information, assign, tag, set a status, email your team or client, or wait, depending on the answers.
  • Email the right person. Quick rules and workflows email them when an answer matches. The email says an intake arrived, but never includes the answers.
  • Send it to your other systems with a signed webhook that retries if your system is down (works with Zapier's and Make's webhook triggers).
  • Example workflow: When “Number of locations” is more than 1 → assign to Ana, tag “Multi-site” and email the client to ask for each location's details.

For your clients

  • No login. A link that works on phones, tablets and computers. Send it to a named client from Tallyn and you'll see whether they've started.
  • Send what they have. Clients can send part now and the rest later, or tell you they don't have something and why. Reminders ask only for what's left.
  • Finish later. Clients can save their answers and come back to them.
  • The right files. Each upload question accepts only the file types and sizes you choose.
  • A portal for repeat clients. Clients sign in with an email link and see their own requests, what's still outstanding and the answers they gave.
  • On your website. Embed the form on your own site if you prefer.
  • Requests that come around every month, quarter or year. Set an intake to repeat weekly, monthly, quarterly or every year, for example monthly bookkeeping documents or year-end documents for returning clients. Each client gets their own link, and reminders follow up as usual.

Client data

  • Notification emails never include your client's answers or files.
  • The app and its database are hosted in the US (Virginia). Everything is encrypted in transit and at rest, and files download through links that expire after five minutes.
  • Account and ID numbers in documents are masked to their last four characters in what the AI writes.
  • Set how long each form keeps submissions, after which they and their files are deleted automatically.
  • Export everything as CSV or JSON whenever you need it.

What it connects to

  • Website embed (any site, including WordPress) Paste the iframe or script snippet from a form's Share tab.
  • Signed webhooks Send each submission to any HTTPS address, signed, with retries.
  • Email from quick rules and workflows Quick rules and workflows email the right person when an answer matches.
  • CSV export Download any form's submissions as a spreadsheet.
  • REST API and API keys Read forms and submissions, and subscribe to new ones, with a workspace API key.
  • Zapier Point Zapier's webhook trigger (Webhooks by Zapier, on Zapier's paid plans) at a Tallyn webhook; the Tallyn app in Zapier's directory is awaiting listing.
  • Make Use Make's custom webhook with a Tallyn webhook today; the Tallyn app in Make is awaiting listing.
  • Voice intake with Onda Onda's voice assistant collects the answers in a spoken conversation on your website or a shared link, and sends them to a Tallyn form.
